Privacy notice

Last updated 9 October 2026. Written with the Barbados Data Protection Act 2019 in mind. This covers the Barbados Women's Padel Ladder website and app, including the version in the Google Play Store.

Who is responsible

Stacey runs Barbados Women's Padel Ladder and is the data controller for the personal data in this app. Contact: hello@barbadoswomenpadel.com.

What we collect and why

  • Name, email, WhatsApp number (optional), passcode: to run your account and let the four contact each other. Passcodes are stored hashed, never in plain text.
  • Skill level, rating, wins and losses: to build fair games and the ladder.
  • Free times, courts you can reach and weeks you are away: to build the fours.
  • Match details and scores: to keep the ladder and history.
  • Private feedback ("play more" / "play less"): used only by the matching engine. Never shown to the player it is about.
  • Reports of lateness, no-shows, missed booker duties (court not booked, balls forgotten) or behaviour: to enforce the ladder rules. Seen by the Owner and the ladder admins. A second lateness, no-show or booker-duty report from a different game removes you automatically, and a booker who has not confirmed the court by 4pm gets an automatic strike.
  • Ideas and suggestions you send in through the app.
  • Events, coaching and tournaments: when you book a coaching session or enter a tournament from the Events tab, the app sends your name, email and skill level to our events site (barbadospadelladder.com) so the booking can be made. See "Events, coaching and tournaments" below.
  • Notification settings: if you switch on notifications, we store a notification address for your phone or browser (a technical identifier from your device's push service) and which kinds of alerts you want. You can switch them off at any time in the app, or in your phone's settings.
  • Technical data: a sign-in cookie, a few small settings kept on your device (for example which events you have already seen, so the app can show what is new), and ordinary server logs, to keep the app working and secure.

The legal basis is your consent when you join and the legitimate running of a members' ladder. We do not collect health data, payment card details, your location, your contacts, photos or microphone/camera data. The app does not take payments.

Messages we send you

We send emails and phone notifications about your games: your four being built, deadlines, changes and cancellations, and, if you book through the Events tab, about your coaching sessions (for example a cancelled session, a spot opening up for you, or being picked to book the court). Match emails include a link to add the game to your phone calendar; the link opens only that one game and stops working if the game is cancelled. We do not send advertising. You can mute the optional nudges in the app.

Who sees what

  • Other members see your first name, surname, level, rating, wins/losses and ladder position, and the players in any match you share.
  • The other three in a four can see your WhatsApp number if you gave one (as a tap-to-chat link on the match page), so you can sort out any issues between you.
  • Your email, free times, private feedback and reports are not shown to other members.
  • The coach running a session you book, and the organiser of a tournament you enter, can see your name and skill level, and your email address so they can contact you about that session or event. Other players booked on the same session see your name.
  • The Owner can see everything needed to run the ladder.

We do not sell personal data or use it for advertising.

Events, coaching and tournaments

Coaching sessions and tournaments are listed and booked through our events site, barbadospadelladder.com, which keeps its own records: your booking (name, email, skill level, which ladder app you booked from, and whether you were confirmed or waitlisted) and, for tournaments, your sign-up and the waiver you agreed to. Coaches are independent: they sign up to the events site themselves, are approved by the Owner, and set their own prices. Coaching fees are paid to the coach directly, in cash, on the day. The app does not take payment for coaching or courts. Please also read the terms.

Who else handles your data

We use a small number of services to run the app. They process data for us and do not use it for their own purposes:

  • Vercel: hosts the app.
  • Neon: the ladder database.
  • Supabase: the events site database (coaching bookings and tournament sign-ups).
  • Resend: sends our emails.
  • Your device's push service (for example Google on Android, Apple on iPhone): delivers phone notifications. It sees only the notification itself.

These services keep data on servers outside Barbados, mainly in the United States, under contracts that protect your data. Barbados law allows transfers where suitable safeguards are in place; by joining you consent to this transfer. Court availability checks send only a date and time to the venue's booking site, never your details. The WhatsApp community link opens WhatsApp, which has its own privacy policy.

How long we keep it

For as long as you are a member. When you leave or are removed, your account is closed and your name is kept only in past match results and reports for up to 12 months, then deleted or anonymised. Coaching bookings and tournament entries are kept for up to 12 months after the event, then deleted. Ask and we will delete sooner where the law allows.

Delete your account and data

You can ask us to delete your account and the personal data we hold about you at any time. Email hello@barbadoswomenpadel.com from the email address you signed up with, with the subject "Delete my account". We will confirm and complete it within 30 days.

  • Deleted: your account, email, WhatsApp number, passcode, free times, venue choices, private feedback, ideas, notification settings, and your coaching bookings and tournament entries on the events site.
  • Kept for up to 12 months, then deleted or anonymised: your name in past match results and reports, so other players' history and ratings stay accurate and rule enforcement records are not lost.

Uninstalling the app removes it from your phone but does not delete your account; please email us as above.

Your rights

Under the Barbados Data Protection Act 2019 you can ask to see the personal data we hold about you, have it corrected or deleted, object to how it is used, or withdraw consent (which ends your membership). Email hello@barbadoswomenpadel.com. If you are unhappy with our answer you can complain to the Data Protection Commissioner of Barbados.

Cookies and storage

One cookie keeps you signed in for 60 days. The app also keeps a few small settings on your device. No tracking, analytics or advertising cookies.

Age

This ladder is for adults. Please do not create an account if you are under 18.

Changes to this notice

If we change how we use your data we will update this page and the date at the top, and tell members in the app when the change matters.

Also read the terms and ladder rules.
